What to send, what to ask for and what to check when you buy aircraft spare parts from a supplier in India — from RFQ wording to certification and customs paperwork.

Aircraft Spare Parts Supplier in India: Procurement Guide

Buying aircraft material is not ordinary purchasing. The part number, the condition and the paperwork have to agree with each other, and one missing certificate can keep a serviceable part in quarantine for weeks. This guide sets out how procurement works with an aviation supplier based in India and what you can do at the enquiry stage to avoid problems at goods receipt.

Start with a complete enquiry

A complete enquiry is answered faster and priced better than a vague one. Send the part number exactly as it appears in the illustrated parts catalogue or on the removed unit, the quantity, the condition you can accept, the aircraft type and effectivity if the part is type-specific, the certification you require, and the date you actually need the material. If the requirement is AOG, say so in the subject line — it changes how the enquiry is routed inside the supplier's office.

Understand the condition codes

The same part number can be offered several ways, and the condition drives both price and paperwork:

  • Factory New — supplied by or through the manufacturer's distribution chain
  • New Surplus — unused, but outside the original distribution chain
  • Overhauled — restored to overhaul limits by an approved organisation
  • Repaired or Inspected/Serviceable — returned to service by an approved organisation
  • As Removed — no release, sold for evaluation or teardown

Accepting a wider range of conditions almost always shortens the lead time. Just make sure the condition you accept is one your own approvals allow you to install.

Agree the documentation before the purchase order

Documentation must be confirmed at quotation and purchase order stage, not after despatch. Depending on the product, its manufacturer and its source, material may come with a Certificate of Conformity, a manufacturer's certificate, test certificates, OEM documentation, FAA 8130-3, an EASA Form 1, a Certificate of Analysis, a Material Safety Data Sheet or traceability records. A supplier who tells you plainly which documents are available — and which are not — is worth more than one who promises everything.

GST, export and shipping

Domestic Indian supplies are invoiced with GST, with the HSN code shown on the quotation and invoice so your stores and finance teams can book the material correctly. Exports from India are handled as zero-rated supplies under LUT where applicable, with a commercial invoice, packing list and transport documents prepared for the destination. Dangerous goods — many lubricants, chemicals, sealants and batteries — need classification, packing and declarations agreed before booking, and sometimes force a sea or road routing.

Judge a supplier on the boring things

Price matters, but repeat business is won on the unglamorous details: quotations that arrive when promised, part numbers quoted exactly as requested, honest lead times, packing that survives the trip, and documents that match the material inside the box. Ask for a reference on a part similar to your requirement, and start with a small order before committing a work package.
